Microsoft Viva: Answers in Viva on Mobile

[MC584830 · Published Jun 12, 2023]: Microsoft is thrilled to announce the launch of the mobile version of the Answers in Viva experience for iOS and Android. The goal is to bring the power of organizational knowledge sharing to the convenience of your mobile device

Answers in Viva is available to licensed Viva Suite customers and/or licensed Viva Topics customers.

Note: Customer tenants will need to be in Native Mode and require Yammer topics being migrated to Viva Topics.   

When this will happen:

Rollout will begin in late June 2023 and is expected to be complete by early July 2023.

How this will affect your organization:

This update will transform how you connect with experts, find answers, and share knowledge within your organization. With just a few taps, you can upvote important questions and responses, ensuring your voice is heard. Additionally, the app’s search feature will allow you to locate solutions swiftly and assign inquiries to appropriate experts, enhancing efficiency and productivity.  For Knowledge Managers and Answer Admins, this mobile app adds an extra layer of convenience. You can easily manage the flow of information, route questions to suitable professionals, and oversee the quality of shared knowledge, all from your smartphone.

What you need to do to prepare: There is nothing required from you at this time. For the best experience, please ensure you have the latest version of the application downloaded. While details on new Viva Engage Admin Center updates are currently under wraps, you can expect to see some exciting new features within the Viva Engage Teams application.

Viva Pulse availability

[MC584831 · Published Jun 12, 2023]:  Viva Pulse is a new employee feedback experience that is available for use with your Viva Suite subscription. Viva Pulse empowers managers and project team leaders to request and receive feedback from their teams at any time. Managers and project leads can choose from research-based templates to quickly create a pulse request and send it to select individuals, or groups. They will receive confidential feedback from their team, and they can take immediate action to increase employee engagement and wellbeing. To ensure that your organization has access to this app, Microsoft’s engineering team will conduct a procedure which will ensure that customers having an active subscription to the Microsoft Viva Suite will see the new Viva Pulse service plan alongside other existing Viva service plans.

When this will happen:

The Viva Pulse service plan will begin rollout mid-June thru mid-July.  

How this will affect your organization:

Once a user in your tenant tries to access Viva Pulse for the first time, the Viva Pulse service plan will be accessible to that user since the user has a license assignment to the Viva Suite. Viva Pulse capabilities will be delivered through two experiences: a Microsoft Teams app and a web experience. Users can access the web experience by visiting Viva Pulse.

You are receiving this message because your Microsoft Viva Suite license enables access to Viva Pulse capabilities. This update will not change your experience or impact any other parts of your Viva Suite or Microsoft 365 admin center.

What you need to do to prepare:

  1. When this change takes effect, please make note of the new service plan names for your administrative records and ensure that you update any relevant provisioning documentation, as needed.
  2. For instructions on how to preinstall and pin the Teams app for users in your tenant, you can visit Set up Viva Pulse for your organization | Microsoft Learn.
  3. As an Organization Admin, you have direct access to the Microsoft Viva Pulse admin experience, where you can configure Viva Pulse preferences specific to your organization. To learn more about the optional configurations, please visit Set up the in-app Viva Pulse experience | Microsoft Learn.

You can enable Viva Pulse public preview today to let your organization start using it before general availability. To do so, global admins can go to the Viva Pulse page to enable public preview. 

Applied Filters in Microsoft Lists (Updated)

Microsoft Lists is rolling out a new way to visualize and clear the filters that are present in a view.

When this will happen:

Targeted Release: Rollout will begin in late April and is expected to be complete by early May.

Standard Release: Rollout will begin in early May and is expected to be complete by late June (previously late May).

How this will affect your organization: As you add and adjust filters to narrow or expand what appears in a view inside a list, you will see which filters have been applied and you can remove them without having to go back into the column filter pane.

Microsoft Viva: Campaign Hub, Search for Campaigns and Executive Sponsorship for Campaigns (Updated)

Campaigns in Viva Engage is launching three new features: campaign hub, search category for campaigns, and executive sponsorship for campaigns. Users will be able to discover and find campaigns. Leaders will be able to sponsor the campaigns they support. Campaigns that have executive sponsors will also show up in Leadership Corner.

When this will happen: 

Rollout will begin in mid-June and expect to be complete by late June. 

How this will affect your organization:

The campaign discovery hub in Viva Engage will help users explore and discover campaigns.

In the hub, they’ll find: 

  • Top campaigns – trending campaigns that the user is currently not following
  • Sponsored campaigns – campaigns that are sponsored by leaders

Browse all campaigns – shows all active and ending campaigns

The user can “Follow” active campaigns or learn more about a campaign on its landing page. 

Users can access the hub by clicking on “Discover more” from two entry points: 

  • Top Campaigns card in the home feed right rail
  • Followed Campaigns card on a storyline profile page

Users can search for a campaign by using the Viva Engage search bar.

Note: This search is based on a prefix search to provide more relevant information. Search campaigns results show campaign hashtag, description, followers count, official symbol, color theme and cover image.  The newly added Executive sponsors enables leaders in an organization to sponsor and support campaigns. Corporate communicators (campaign managers) of an organization can manually add leaders as executive sponsors. Once added, executive sponsors will be notified in Viva Engage and Outlook.

Microsoft Viva: Auto-Categorization Coming to Meeting Category Insights in Viva Insights (Updated)

Meeting category insights in the Viva Insights app helps Viva Insights licensed users understand how they are allocating their time across meeting categories. Today, the feature uses the categories manually assigned by users in Outlook and Teams. In an upcoming update, meeting category insights will begin automatically categorizing meetings for users based on meeting size, cadence, and number of people in the meetings. Categories include:

  • Long meetings – More than 1 hour long and 0-8 invitees
  • Large meetings – At least 9 invitees and at most 1 hour long
  • Large and long meetings – At least 9 invitees and more than 1 hour long
  • Recurring meetings – Meeting series with multiple instances
  • 1:1 meetings – Include 1 other participant

These categories can help users identify meetings that are expensive in terms of time spent, participants included, or both. Using these insights, users can assess whether meetings that fall under this category are a valuable use of time and resources as a step towards doing more with less.

Categorizations will show up in Viva Insights only and will not reflect in Outlook or Teams calendar.

With this update, users who are not currently categorizing in Outlook or Teams will be able to access meeting category insights and begin developing an understanding of how their meeting time is being spent. Users who are already categorizing will receive additional insights about their meeting time allocation according to well-known meeting attributes.

When this will happen:

We will begin rolling out in late June (previously early May) and complete rollout by mid-July (previously late May).

How this will affect your organization: All users with a Viva Insights license, including those who have not categorized any meetings before, will be able to view meeting category insights in the Viva Insights app. Those who have not categorized between the last 3 months and next 4 weeks will see auto-categorizations from Viva Insights only. Those with categorizations in Outlook and Teams will see both their own personal categorizations and auto-categorizations from Viva Insights.

Users without a Viva Insights license will not be able to view meeting category insights.

What you need to do to prepare:

Viva Insights documentation will be updated in sync with this release: Meeting category insights in Viva Insights. Review and assess impact for your organization. Consider updating documentation as appropriate.
