Overview:
MailPort is a complete document processing application that provides
an accurate, effective system to collect, process, and deliver digital
documents (e-Docs) via e-mail. MailPort users can effectively eliminate
the need to print e-Docs for the purpose of scanning. Using any e-mail
client, workers can manage, process, and file e-Docs with ease.
MailPort can automatically file e-mail documents that
serve as business records; therefore, accelerating the business process
and lowering the costs of document capture. It works as a desktop based
application, and can be customized to the requirements of any document-processing
pipeline.
MailPort for Kofax Ascent:
MailPort for Kofax Ascent is a fully integrated version of MailPort
that uses the Kofax Ascent software to perform additional document processing
functions. Working as a front-end application to Kofax Ascent, MailPort
fits seamlessly into all Kofax document-possessing applications. Being
fully supported and extensible, MailPort for Kofax Ascent can be tailored
to fit any document processing application.
How it Works:
MailPort was developed with two key goals in mind: flexibility and ease
of use. It is constructed with a series of modules that provided an
open-ended, easily modifiable operating structure.
The modules that MailPort utilizes are:
1. The E-Mail Module
2. The Document Conversion Module
3. The Quality Control Module
4. The Notifier Module
5. The Output Module (File system or Kofax)
MailPort uses standard e-mail protocols to receive
e-Docs and enter them into document processing streams. Typically, separate
e-mail accounts are set up for each document group that needs processing.
MailPort then reads the e-mail’s that are sent to that Inbox,
extracting the e-mail's content and any attached e-Docs. Next, the extracted
documents are processed through MailPort’s Document Conversion
Module, and automatically transferred to the appropriate file system
location. During the process, the Quality Control Module is constantly
watching to ensure that no errors or problems ensure. If there is an
error (such as a corrupt file) the Quality Control Module will quarantine
that file, and the Notifier Module will alert the user and the sender
of a problem with the file. After the file is quarantined, MailPort
will resume processing the remaining documents. Once a batch of documents
has been converted, MailPort can output the documents to a file system
directory structure or into Kofax Ascent.
