The E-mail Module:
MailPort features an advanced, completely configurable e-mail module.
Once activated, it can be scheduled to poll infinite e-mail accounts
at any interval. After determining if there are e-mail messages to process,
the e-mail module will "read" all incoming e-mails. The “read”
process includes processing the header, body, and attachments for each
message. All message header information is stored in metadata, which
also includes e-mail sender, subject, and timestamp information. Additionally,
the e-mail body and any associated attachments are extracted and submitted
to the next process in the document-processing pipeline.
The Document Conversion
Module:
MailPort’s Document Conversion Module is a robust converter supporting
over 140 of the most common data formats, including Microsoft Word and
Excel file formats. It automatically accepts e-Docs and converts them
to any desired format, including .pdf and .tif. With the Document Conversion
Module, it is easy to add additional custom document conversion routines.
The Quality Control Module:
During every step of MailPort’s process,
the Quality Control Module tracks the status of each e-Doc. It ensures
that from the time a document is received, it is properly handled, converted,
and retains 100% of the original file integrity. At any point, if a
problem arises, the QC Module alerts MailPort, and the problematic document
is sent to a quarantine area. After quarantining documents, the QC Modules
allows the document-processing operator to determine the appropriate
resolution process on a document-by-document basis, or, to automatically
return un-processable documents to the original sender.
The Notifier Module:
One of the key advantages of MailPort is its ability to provide user
feedback, thus creating a closed-loop system for document processing.
Those experienced with e-Doc conversion have certainly experienced the
frustrations associated with un-openable documents, password protected
documents, and other similar situations. The Notifier Module has the
ability to work with the QC module and send alerts when certain processes
have occurred. It can provide users with feedback such as successful
document submissions and conversion, or, if a document fails to be processed,
it can be returned with standard or custom return messages, including
return reason, or required steps for resolution and re-submission.
The Output Module:
MailPort’s Output Module can deliver processed documents into
any file directory structure or into Kofax Ascent. If you choose to
output to a file system, the Output Module can be configured to create
a new directory structure or utilize an existing, pre-set arrangement.
Locating and managing e-Docs is simple and easy once they have been
processed with MailPort.
If your company employs Kofax Ascent, MailPort
can be configured to work seamlessly as a front-end application to Kofax’s
document processing software. Once processed, documents will appear
in the Kofax Ascent software and be entered into your existing document
processing workflow.
